Title: Client Intake Coordinator 

Department: Office 

Reports to: Director of Operations & Client Engagement

The Mustard Seed’s vision is that the provision of basic household furniture may set the stage for individuals to achieve restored dignity and self-esteem, enabling them to move ahead and take control of their futures.  

Position Purpose 

The Intake Coordinator is responsible for coordinating all processes that involve the intake of information for furniture clients and the disbursement of furniture.  

Responsibilities/Duties/Functions/Tasks 

The Intake Coordinator will work under the supervision of the Office Manager in providing operational support and regulation of the client services including, but not limited to: 

  • Greet clients as they arrive at The Mustard Seed (TMS) and determine their needs. 
  • Answer emails, phone calls, and voicemails in a timely manner 
  • Submit potential client contact information to TMS Case Manager to perform a home visit.  
  • Assist furniture and clothing clients with the appropriate paperwork. Outline to the clients the warehouse and program rules for each. Ensure that client has all accurate paperwork including referral, processing fee, truck or trailer, moving assistance, ID’s for all adults and a birth certificate for all children. 
  • Compile client files in their entirety and verify that all aspects are complete. 
  • Accept and process all furniture, clothing and donation fees via telephone or in person. Track all incoming payments with receipt, client files and payment log. Accept and process all monetary donations according to the Incoming Check and Payment Policy. 
  • At the close of business, must be able to calculate all transactions for the day, mark them on the appropriate forms, and turn them into Finance for documentation. Give all receipts and financial documents to Finance daily.  
  • Gather, sort and disburse all incoming faxes appropriately 
  • Inform the Office Manager of any referring agency issues. 
  • Schedule pickups for drivers and appointments for clients, orders office supplies when needed.  
  • Be willing to attend community meetings, sessions, workshops and outreach events in reference to TMS furniture and clothing program.   
  • Other duties as assigned by the Office Manager or the Executive Director. 

Required Qualifications 

The primary qualifications for the position of Intake Coordinator are: 

  • Must have cash handling experience and be experienced with Microsoft Office and the Internet. 
  • HMIS database a plus but will be trained per the proper license agreement.  
  • A strong and unwavering commitment to ethical business practices, including honesty and integrity, efficient, hard-working and able to multitask 
  • Must have a pleasant and upbeat demeanor, both on the phone and in person, with excellent communication skills. 
  • Superior interpersonal skills, especially in relating to clients and donors of different backgrounds, ages, ethnicities, sexual orientations and abilities. 
  • Must have be a self-motivator while working for and with the team. Needs to have very strong initiative and drive.  
  • Must submit to drug and background employment screening tests.  
  • Must be able to legally fulfil all fiduciary responsibilities without restraints. 

Educational Requirements/Work Experience 

High school diploma minimum education. 1-2 years’ experience in non-profit or similar field. 

Physical Requirements 

While performing the duties of this Job, the Intake Coordinator is regularly required to sit, stand, walk.  The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen.

Title: Community Shop Store Manager

Department: Thrift Store

Position Purpose

The Store Manager’s main purpose is to lead this new retail experience with a thorough understanding of retail business operations.

  • Responsible for managing the daily activities in the store
  • Responsible for financial forecasting and risks analysis.
  • Responsible for preparing financial reports, budgets, and financial statements for the store
  • Ensure that the store operates within stipulated budget.
  • Manage administrative duties assigned by the human resources and admin manager in an effective and timely manner
  • Ensure that proper records of goods are kept, and the racks and warehouse does not run out of products
  • Manage external research and coordinate all the internal sources of information to retail the stores best customers and attract new ones
  • Identify, prioritize, and reach out to new partners, and business opportunities
  • Develop, execute and evaluate new plans for expanding increase sales
  • Represent the company in strategic meetings
  • Model demographic information and analyze the volume of transactional data generated by customer purchases
  • Organize and place items strategically on the floor to ensure customer shopping ease and satisfaction, while delivering excellent customer service.
  • Ensure that the store facility is in tip top shape and goods are properly arranged and easy to locate
  • Interface with TMS staff at home facility
  • Control goods distribution and supply inventory
  • Supervise the workforce in the thrift store.

Day-to-day activities atThe Mustard Seed of Central Florida

You’ll be responsible for the daily operations of a retail store, including managing inventory, merchandising, sales, and customer service. Your main job is to make sure sales goals are met, the staff is well-managed, the store operates successfully, and customer needs are met.

Here’s a closer look at the day-to-day activities

  • Open & close the store
  • Hire, manage, train, and motivate staff members.
  • Manage employee schedules.
  • Set sales goals for the store, forecast future sales volumes, and meet sales quotas.
  • Develop and execute promotions.
  • Sort products from donors, vendors and suppliers
  • Negotiate bulk price.
  • Analyze and coordinate inventory.
  • Create and maintain attractive and accurate store displays.
  • Organize and oversee product brand line reviews.
  • Reprice merchandise and recommend markdowns when necessary.
  • Work with and report to senior management to create and maintain store budgets to maximize revenue and profits.
  • Control receipts and prepare daily or weekly sales and inventory reports.
  • Communicate sales trends.
  • Attend to customers by greeting them with a smile and assisting them.
  • Manage questions, complaints, and comments from customers.
  • Random security checks to ensure receipt of purchases.
  • Customers may be clients, staff, volunteers, bulk buyers or shoppers.

Required Qualifications
